Administrative Assistant - Engineering
Primary Services is excited to announce the Administrative Assistant role for a major client supporting complex engineering and construction operations. This position plays a critical role in keeping projects moving by ensuring permits, documentation, and agency coordination are handled accurately and on time.

Responsibilities
Support internal engineering projects by managing administrative and permit-related tasks aligned to workload demands
Prepare, complete, and submit permit applications to state, county, and local agencies for construction, maintenance, and repair projects
Coordinate with internal departments to ensure permit documentation is accurate, complete, and submitted within required timelines
Track permit applications, approvals, and deadlines using internal databases and reporting tools
Initiate and process check requests and advance payments required by governmental agencies and railroads
Distribute approved permits to appropriate personnel and prepare return correspondence as required
Maintain and update records of agency permit contacts and provide scheduled updates to internal stakeholders
Develop and monitor reports used to track permit status, payments, and compliance requirements
Communicate with government agencies to follow up on pending permits and obtain verbal approvals for emergency or fast-track projects
Prepare address lists, notification letters, and formal correspondence to support regulatory and project needs
Perform additional administrative and project support tasks as assigned
Qualification
Required
High school diploma or GED required
0–2 years of administrative or project support experience
Proficiency with Microsoft Excel, Word, Access, and other Windows-based applications
Ability to perform basic mathematical calculations and accurate data entry
Experience maintaining databases, tracking records, and managing documentation
Ability to read, learn, and apply applicable codes, regulations, and internal guidelines
Experience preparing formal correspondence and working with government or regulatory agencies
Preferred
Familiarity with SAP, ESRI, GViewer, or other mainframe or GIS applications preferred
Prior exposure to engineering, utility, or energy-related environments preferred
