Responsibilities
Edit, format, and proofread documents in Word and Excel, including applying styles and headings
Submit new matters for intake and conflict checks
Process daily time entry
Assist attorneys with matter administration and client billing, including following client policies and procedures, coordinating with client administrative personnel and reviewing and editing pre-bills
Support attorneys in preparing for commercial real estate closings
Prepare closing binders and follow up on post-closing items
Assist in creating and editing PowerPoint presentations
Maintain strict confidentiality regarding firm and client matters
Manage attorneys’ calendars, travel arrangements, appointments, meetings, conferences, and expense reimbursements
Qualification
Required
Minimum 3–5 years of secretarial experience in a real estate environment, including all aspects of real estate closings
Strong organizational, communication, and client service skills
Exceptional technical skills required, including proficiency in MS Word, Excel, Outlook, iManage, and Aderant
Ability to prioritize multiple projects and manage competing deadlines
Highly detail-oriented with a collaborative nature and willingness to learn new tasks
High School Diploma required
Preferred
Experience with major institutional investors and commercial real estate transactions is a plus
Knowledge of legal and real estate terminology is a plus
Further education or professional certification preferred
