Business Office Administrator / Executive Assistant

They are seeking a Business Office Administrator / Executive Assistant to provide comprehensive administrative support to the President, oversee daily office operations, and serve as a reliable point of contact for clients and vendors.

Responsibilities

Manage the President’s calendar, appointments, and internal deadlines
Prepare correspondence, documents, and meeting materials with accuracy and professionalism
Anticipate needs, assist with prioritization, and ensure timely follow-through on commitments
Maintain confidentiality and exercise discretion in all interactions
Serve as a professional and courteous point of contact for clients when leadership is unavailable
Respond to general inquiries, gather necessary information, and escalate matters appropriately
Maintain a polished communication style across phone, email, and in-person interactions
Oversee daily office operations, including supplies, vendor coordination, and general organization
Manage scanning, filing, document preparation, and data entry
Ensure the office environment remains efficient, organized, and well-maintained
Maintain accurate CRM records (Zoho), update pipelines, and generate basic reports
Assist with light sales administration, including research, scheduling, follow-ups, and client touchpoints
Support leadership by handling routine inquiries and enabling focus on business development
Provide scheduling, reporting, and coordination support to the future Sales Manager
Assist with internal communication and cross-functional task alignment
Support small projects by tracking tasks, following up with vendors, and ensuring timely completion
Maintain spreadsheets, reports, and documentation to support operational efficiency

Required

Demonstrated experience in administrative support, executive assistance, office management, or client-facing roles
Strong organizational skills with the ability to manage multiple priorities
Professional communication skills and confidence interacting with clients and senior leadership
Proficiency with Microsoft Office Suite and general office technology
Ability to work independently, maintain composure, and adapt to changing needs
Brings a positive energy and passion for the role

Preferred

Experience in tax, accounting, real estate, or related professional services environments
Familiarity with CRM systems (Zoho preferred)
Experience supporting executives or managing office operations
Comfort with basic reporting or sales support tasks
