Responsibilities

Provide high-touch administrative support to the Los Angeles–based Events team including:
Coordination and scheduling meetings with senior leaders, demonstrating discretion and executive presence
Support day-to-day team priorities by driving follow-ups and tracking action items
Prepare clear, concise meeting notes and key takeaways
Handle additional tasks and shifting priorities with professionalism and urgency
Schedule and track all events and event intel for all trade shows, festivals, and tent pole events
Work closely with Convene team members to build and adhere to event budgets
Own department billing submissions, tracking, and timely payments for partners/vendors
In partnership with manager, proactively maintain oversight for all venues, venue contacts, vendors, catering relationships, updating shared databases for department
Assist with 3C Ventures’s invitation platform, Event Farm, ensuring seamless on-site check-in processes and one-off events
Active participation in idea generation, brainstorming, and creative ideation for event
Support and own list management, invites, and tracking process for all events and any promotional email materials (save the dates, etc)
Source sponsorship collateral, premiums/holiday gifts and maintain inventory of company branded items
Collaborate with graphic designers to create invites, event collateral for events, manage collateral shipping and receiving for any off-site events
Own and manage group travel, hotel blocks and transportation
Support team onsite at events such as but not limited to CES, POSSIBLE, Cannes Lions
Uphold strict level of confidentiality

Qualification

Required

2+ years in a support role within media, marketing, advertising, technology, finance, and/or consulting, ideally with experience coordinating events
Strong communication and administrative skills, both internal and client-facing
Excellent verbal, written, and interpersonal skills
Strong attention to detail, problem-solving, and organizational skills
Ability to multitask efficiently and manage multiple priorities
Self-starter with the ability to work independently and take initiative
Ability to anticipate shifting priorities
Comfortable working under pressure in a fast-paced environment
Team player with strong social and interpersonal skills who works well across teams
Ability to interact comfortably and effectively with employees at all levels, as well as external partners and clients
Positive attitude and professional demeanor
Limitless intellectual curiosity and a strong desire to learn
Ability to travel as needed
Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and expense reporting systems
