They are seeking a reliable, detail-oriented Administrative Assistant to support their Franklin Outpatient Program, which involves managing front office operations and serving as the first point of contact for clients, staff, and visitors.

Responsibilities

Manage the front office and maintain a professional, welcoming environment
Schedule and coordinate client appointments
Maintain medical records, including filing, transcription, and record transfers
Answer phones and perform clerical duties such as mailing, copying, faxing, typing, and filing
Assemble, update, and organize client intake packets
Order and manage office and client supplies
Assist with intake processes, billing sheets, and communication with referral sources
Prepare check requests and maintain census data, intake logs, and discharge logs
Attend staff meetings and accurately record meeting minutes
Coordinate service and maintenance for office equipment with vendors
Manage petty cash in accordance with company policy
Ensure the office remains clean, organized, and presentable
Complete required administrative reports and maintain policy and procedure manuals
Perform additional duties as assigned to support program operations

Required

Professional, courteous, and positive communication style
Strong organizational, multitasking, and time-management skills
Ability to work collaboratively within a clinical team environment
Proficiency with computers, phones, and office technology
Adherence to all HIPAA, licensing, and CARF regulatory requirements
Completion of all required and mandatory trainings
High School Diploma or GED required
Strong computer skills and written/verbal communication abilities
Ability to manage multiple priorities in a fast-moving environment

Preferred

Previous administrative or secretarial experience preferred
