Responsibilities

Serve as the main coordination point between the Project Director and project teams, ensuring smooth communication and alignment across all stakeholders
Manage executive-level meeting preparation, facilitation, follow‑up, issue tracking, and worklist management
Support annual and quarterly strategic planning, translating project objectives into actionable initiatives and maintaining project scorecards
Lead cross‑project coordination efforts and drive initiatives that span multiple functions or do not have a dedicated owner
Provide decision support by synthesizing key information, prioritizing items requiring leadership attention, and acting as an advisor to the Project Director
Prepare executive communications, including presentations, newsletters, and leadership updates
Maintain governance calendars, optimize scheduling for leadership priorities, and evaluate new commitments for strategic alignment
Oversee staffing coordination, onboarding/offboarding support, logistics planning, and delivery of required governance reporting
Handle sensitive information with discretion and maintain strict confidentiality
Escalate project issues, risks, and delays appropriately to support timely resolution
Support general office and site administration needs throughout various project phases

Required

Experience in program or project coordination within complex, cross‑functional organizations
Strong communication and stakeholder management skills, including experience preparing executive‑level materials
Proven ability to manage multiple priorities, maintain confidentiality, and adapt to shifting project needs
Experience supporting senior leadership through planning, governance, prioritization, and coordination of complex initiatives
Ability to synthesize information, coordinate across teams, and support both strategic and operational activities
Highly organized, proactive, and capable of driving actions to closure with minimal oversight
