Responsibilities

Answers all main line phone calls and directs calls appropriately
Greets all external visitors, vendors and candidates in a professional, courteous and friendly manner
Updates Chicago office shared calendar and assigns conference rooms
Coordinates meetings, including catering and IT set up
Communicates with the building management as appropriate and authorizes all guests for security access
Assist with facility management, including communication with building management
Keeps inventory of all office supplies, orders supplies and keeps office stocked and well organized
Coordinates Chicago office community service and philanthropic events
Assists Human Resources in the onboarding process for new hires, including badges, workstation set-up, key distribution and creating the New Hire Binder
Sorts and distributes incoming mail and manages FedEx and UPS deliveries
Provides administrative support to various departments as needed and regularly completes ad-hoc assignments and projects
Assist various departments with entering invoices into the OnBase system
Places and receives messenger service orders and packages and notifies recipients
Oversees the organization, preparation, set-up and clean-up of internal office events
Maintains and keeps general office areas clean, neat and free of debris
Provides back-up support for other administrative professionals when necessary
Supports (their department’s) team and/or other departments on an as needed basis
Willingly takes on additional responsibilities as requested in order to accomplish department and Company objectives

Required

High School Diploma or Equivalent required
Minimum 1 year in an administrative role required
Ability to work independently, but also as a team player with the motivation to take on additional tasks as required
Ability to take initiative and follow through on tasks and responsibilities
Confidence and poise in interactions with individuals at all levels, including executive management
Detail-oriented, reliable, and able to multi-task effectively
Ability to work independently with strong problem-solving / trouble shooting skills
Ability to anticipate needs and proactively take action
Excellent customer service and interpersonal skills
Proven ability to prioritize, multi-task, accept directives, and meet departmental objectives. Strong attention to detail and organizational skills
Ability to handle confidential information with discretion and professionalism
Ability to be extremely reliable and report to work on time each and every day
