Senior Specialist Executive Assistant (Government)

Responsibilities
Perform advanced confidential administrative duties for one or more company officers, handling sensitive information with discretion and professionalism, and interacting with high-level contacts
Manage complex calendars, schedule meetings and appointments, plan events, and make travel arrangements to ensure seamless coordination of both on-site and offsite activities
Serve as a trusted liaison between the executive and internal/external stakeholders. Draft and review correspondence, presentations, and reports. Take appropriate actions to ensure timely flow of information while fostering strong connections
Partner closely with the Chief of Staff team to manage the annual rhythm of business (ROB). Build strong internal and external networks across the organization to support team and leader priorities. Apply executive-level judgment, discretion, and business insights to anticipate needs, guide decision-making, and prepare staff to effectively distribute information to their teams and supported leaders
Assist with budget preparation, expense tracking, and financial transactions, process bills, vouchers, payroll, and other administrative tasks, ensuring compliance with company policies
Provide guidance for other executive assistants and managers, prioritize assignments and tasks, and coordinate requests for workspace, service, office equipment, and other operational programs such as charitable campaigns and employee recognition
Anticipate executive’s needs and proactively remove obstacles to ensure day‑to‑day operational efficiency. Proactively identify opportunities to improve processes and executive workflows, resolving challenges and driving efficiency
Qualification
Required
Minimum 8 years of Administrative Assistant experience
Minimum 4 years supporting senior executives (VP and above) as an Executive Administrative Assistant
Advanced proficiency in MS Office Suite (Outlook, Word, Excel, PowerPoint) and collaboration tools; ability to create executive-ready materials
Experience scheduling complex, multi-leg domestic and international travel; demonstrated experience processing visas/passports
SAP or equivalent ERP experience processing expense reports and basic financial tasks
Exceptional communication skills to interact effectively with executives and internal/external stakeholders, both onsite and remotely
Demonstrated experience using Generative AI tools to draft, summarize, plan, and streamline workflows, with strong judgment on application and review
Proven ability to handle confidential information with discretion and professionalism
Proficient in using a variety of digital tools, such as work order management systems, room scheduling applications, and other business-related software
Demonstrated ability to support the planning, coordination, and execution of special events hosted by Public Sector and FirstNet
Excellent written and verbal communication skills, with the ability and confidence to interact professionally with internal and external stakeholders at all levels while maintaining the highest level of discretion and confidentiality
Strong critical-thinking and problem-solving abilities, with a proactive and solutions-oriented approach
Preferred
Bachelor's degree (BS/BA) desired
Active Top Secret Clearance desired
