Responsibilities
Project Coordination: Assist in the planning, organization, and execution of medical affairs and publications projects. This includes managing timelines, coordinating resources, and ensuring project deliverables are met on schedule
Administrative Support: Provide comprehensive administrative support to the account team, including scheduling meetings, preparing agendas, and maintaining accurate project documentation
Client Interaction: Act as a liaison between the client and internal teams, facilitating clear and effective communication. Ensure client needs and expectations are met throughout the project lifecycle
Financial Management: Support the financial aspects of projects by assisting with budget tracking, invoicing, and financial reporting. Ensure projects remain within budget and financial objectives are achieved
Content Management:Prepare or support the preparation of materials for submission to client systems or tools, and/or other platforms or websites
Quality Assurance: Participate in quality control processes to ensure all project deliverables meet the required standards of accuracy and professionalism
Qualification
Required
A degree (or equivalent) in a scientific, business, or communications-related field is preferred
Typically 1+ years of experience in a project coordination, client services, or administrative role in medical communications or a healthcare agency setting
Familiarity with Microsoft Office (especially Excel, PowerPoint, Outlook, Word); experience with platforms like Datavision, Zinc, or Veeva Vault is a plus
Strong organizational skills and a keen eye for detail
Ability to manage multiple tasks, stay calm under pressure, and meet deadlines
Comfortable working in a dynamic, collaborative, and fast-moving environment
Able to travel internationally for client meetings or program delivery
