Responsibilities

Provide administrative support for all business, travel, and budgeting processes for the Office of Talent Management
Manage calendar for Senior Director of Talent Management
Provide budget support via event budget tracking
Prepare and monitor check requests/travel authorizations/reimbursements from both state and foundation funding sources as well as track spending and encumbered funds
Perform procurement duties to include monitoring, ordering, and purchasing supplies from external and internal vendors. Serve as first point of contact for vendors
Receive deliveries, distribute incoming mail, and prepare outgoing mail
Other duties inclusive of, but not limited to, assisting with reserving meeting rooms, travel arrangements, events, and workshops
Provide administrative support for all business, travel, and budgeting processes for the Office of Finance and HR
Assist Senior Director of Finance and HR with scheduling meetings, to include reserving meeting rooms, sending calendar invites and scheduling zoom meetings
Assist with scheduling of division budget meetings during budget preparation
Prepare and monitor check requests/travel authorizations/reimbursements from both state and foundation funding sources as well as track spending and encumbered funds
Perform procurement duties to include monitoring, ordering, and purchasing supplies from external and internal vendors
Provide administrative support to Advancement Information Technology
Assist Executive Director, Senior Director, and Associate Directors with administrative support such as scheduling meetings, handling room reservations, preparing reports or special projects
Provide administrative support to the Advancement IT team include a wide range of complex office administration including word processing, data entry, spreadsheet development, mail merge documents, composing and editing letters, reports, presentations, and other clerical duties as assigned
Prepare and monitor check requests/travel authorizations/reimbursements from both state and foundation funding sources as well as track spending and encumbered funds
Perform procurement duties to include monitoring, ordering, and purchasing supplies from external and internal vendors
Provide office suite and onboarding support
Serve as primary backup support for front desk including:
Greet and direct visitors at the front desk in a welcoming and timely manner
Answer main phone line and direct calls as appropriate in a welcoming and timely manner
Coordinate with other administrative support staff within One Press Place to assist with office functions and other priority initiatives
Sort USPS and Campus Mail for Development office
Partner with Talent Management to serve as point of contact for onboarding assistance for new administrative support staff for DAR

Required

High school diploma or equivalent and 2 years of related experience
Professional experience in an office setting
Strong oral and written communication skills, with the ability to interact effectively and professionally with individuals at all organizational levels
Demonstrated ability to communicate clearly across multiple platforms, including email, phone, and written correspondence
Excellent organizational abilities and be able to work effectively in a fast-paced environment
Proven ability to manage multiple tasks and project timelines simultaneously
Strong problem-solving abilities
Proficiency in Microsoft Word, Excel, and Outlook
Skilled in planning, prioritizing, and coordinating tasks and projects
Experience with project management, scheduling, research, and electronic record keeping
Effective collaboration and teamwork skills
Professional and welcoming demeanor as the first point of contact

Preferred

Working knowledge of UGA policies and procedures and/ or UGA Foundation policies and procedures a plus
Progressively responsible experience working in a fast-paced environment
Ability to deal effectively and professionally with a variety of people at all levels of management within and external to a university environment
