Confidential company is seeking a highly organized and detail-oriented Property Management Administrative Assistant to support their property management team. This role involves providing exceptional administrative support, managing office operations, and ensuring smooth communication between residents, vendors, and staff.

Responsibilities

Manage front desk responsibilities, including greeting visitors, owners, and residents with professionalism and courtesy
Handle multi-line phone systems, screen calls, and direct inquiries appropriately
Maintain accurate data entry and filing systems for property records, lease agreements, and maintenance logs
Coordinate calendar management for property inspections, maintenance schedules, and resident meetings
Prepare correspondence, proofread documents, and ensure accuracy in all communications
Support customer service efforts by addressing inquiries promptly and professionally
Support bookkeeping tasks including rent collection and payment processing using relevant software tools
Perform clerical duties such as photocopying, scanning, and document filing to ensure efficient office operations

Required

Proven experience in office management or administrative support roles within property management or related fields

Excellent organizational skills with the ability to multitask effectively in a fast-paced environment
Exceptional phone etiquette and customer service skills to handle inquiries professionally
Knowledge of office equipment such as multi-line phone systems and office management tools is essential
Ability to work independently with minimal supervision while maintaining attention to detail
Strong time management skills to prioritize tasks efficiently in a busy setting

Preferred

Bilingual abilities are highly desirable to serve diverse tenants and clients effectively
Prior clerical experience including filing, proofreading, and calendar management is preferred
