Hands-on Administrative Assistant

The role requires conducting property visits, managing documentation, and providing administrative support while adapting to a fast-paced environment.

Responsibilities

Conduct routine property visits and inspections (approximately 3–10 properties per week), including capturing photos and videos and uploading documentation to designated folders
Complete move-in and move-out inspections, including some weekend availability as needed
Provide onsite access for vendors, contractors, and occasional client visits
Manage lockboxes, keys, signage, and property access systems, ensuring accurate documentation
Perform basic property-related tasks such as replacing light bulbs, minor adjustments, and assisting with staging-related needs when required
Maintain organized digital records across Google Drive, Dropbox, and internal systems
Enter receipts and expenses for office- and property-related purchases using a company-issued credit card
Draft rental property descriptions and basic marketing copy
Create and maintain showing instructions, task notes, and simple reports using Notion and Google Sheets
Update and track tasks across internal systems including AppFolio, Lead Simple, Notion, and Missive
Serve as a backup rental showing host as needed
Coordinate key copies, office supplies, and general office logistics
Manage inventory of client gifts and assist with packaging and shipping when needed
Communicate professionally with internal team members and, on rare occasions, with owners, tenants, or vendors for coordination purposes

Required

Valid driver's license and reliable vehicle required
Reliable personal computer for work assignments (Mac preferred)
Strong organizational skills with exceptional attention to detail
Clear, professional, and consistent communication skills
Ability to follow instructions precisely and document work thoroughly
Strong time management skills with the ability to adapt to shifting priorities
Self-motivated and capable of working independently while supporting multiple managers
Comfortable operating in a fast-paced, highly reactive work environment
Proficient with computers and able to learn new software quickly

Preferred

Experience with Google Workspace preferred
Familiarity with AppFolio, Notion, Lead Simple, Missive, or similar tools is a plus but not required
Prior real estate or property management experience is helpful but not required
