Accounts Receivable & Billing Specialist

The Accounts Receivable & Billing Specialist will be responsible for various accounting duties related to billing, accounts receivable adjustments, and customer service, ensuring excellent support to the A/R team and maintaining customer records.

Responsibilities

Set-up new customers & manage customer records as needed
Respond to customer inquiries, phone calls, emails and provide excellent customer service
Facilitate and assist A/R team with necessary adjustments
Assist with updating/maintaining sales tax records as related to exempt orders/customers
Assist in filling monthly/quarterly/yearly sales tax returns as assigned and handle all related activities including reconciliation
Assist with and resolve credit balance clean-up of customer accounts
Process monthly commission and other sales rep payments as assigned
Work with sales representatives as needed related to commission or pass-through balances due
Conduct research as needed to assist with cash application or other issues related to open balances or invoicing
Perform general office duties such as filing and handling routine correspondence
Assist with auditor requests, as necessary
Other duties as required to back-up other team members and support the A/R team leader & department manager
Maintain confidentiality with all customer and financial information
Independently handle assigned tasks and processes and use judgement to make sound decisions that may be financially impactful to the company while at the same time protecting the customer relationship as best possible
Perform other miscellaneous tasks as needed

Required

Minimum HS Diploma or equivalent required
Ability to lead projects or tasks and train others to standard operating procedures required
Ability to prioritize and multi-task and be flexible in a fast-paced environment and meet deadlines
Ability to be an effective team member and display teamwork and initiative
Ability to work independently and possess initiative and self-start qualities
Ability to learn new software and programs quickly
Ability to add, subtract, multiply and divide using basic math skills
Excellent analytical and problem-solving skills
Effective communication and negotiation skills
Proficiency in using relevant software and tools. Microsoft Excel and Outlook
Must maintain regular and acceptable attendance at such a level as is determined in the company's employee handbook
Must be available and willing to work overtime hours as the employer determines is necessary or desirable to meet its business needs
Must be available and willing to work such weekends and/or holidays as the employer determines are necessary or desirable to meet its business needs

Preferred

Prior related accounts receivable experience preferred
Associate or bachelor's degree in related field encouraged
Experience with digital or robotic processing. Billtrust, and multiple ERPs strongly preferred
Knowledge of construction contracts, project billing cycles, and familiarity with AIA billing
