The Accounting Administrative Specialist will be responsible for processing routine invoices, reconciling financial records, assisting with travel reimbursements, and managing inventory records.

Responsibilities

Processing routine invoices for local funds and federal checks and reconciling financial records

Processing purchases for various departments including using the small purchasing charge card within state compliance

Assisting end-users with travel reimbursements

Ensuring invoices are cleared for payment processing

Assisting in monitoring budget balances and related transactions

Making routine account adjustments for variances

Identifying, tagging, recording and updating all college inventory records, including Equipment Trust Funds

Processing manual check requests

Completing other duties as assigned

Required

Work experience in or knowledge of accounting, accounts payables, procurement and inventory

Strong critical thinking and problem-solving skills with attention to detail

Strong written and oral communication skills and the ability to manage multiple tasks

Proficiency in Microsoft Excel with the ability to create and maintain spreadsheets, Word, and Adobe

Ability to learn to make adjustments to financial data

Preferred

Working knowledge of generally accepted accounting principles and practices

Knowledge of cash management principles and procedures

Proficiency in PeopleSoft (Oracle) or other financial applications

Experience with State computer applications and systems
