Church Office Administrator

Yorkminster Presbyterian Church is seeking a Church Office Administrator to provide administrative and communications support to the church’s staff and lay leadership. The role involves welcoming visitors, coordinating communications, and maintaining office operations to facilitate the church's mission and ministries.

Responsibilities

Offers hospitality and help to those contacting or coming into the church
Provides administrative and secretarial assistance to the church’s staff, its lay leadership and the Preschool’s Director
Works cooperatively with the church’s staff and the Communications Ministry Team to provide timely and coordinated internal and external communications concerning the church’s ministries, activities and mission
Oversees the production of printed material used in the church’s ministries – bulletins for worship, reports on activities, volunteer schedules, promotional materials and communications
Facilitates the church office’s electronic communication of information useful in helping members share in the church’s life and ministry through email and social media
Maintains the church’s calendars – except for facility requests
Supports the Clerk of Session in maintaining the church’s rolls and official records and ensuring that these are securely stored and appropriately accessible
Ensures that information on worship attendance is captured and shared with appropriate lay leaders
Attends and participates actively in meetings of the church’s staff and the Communications Ministry Team
Ensures that church office equipment is functioning, that supplies are stocked and that expenses are in accord with budget norms
Coordinates the contributions of office volunteers

Required

Demonstrates a mature relationship with Jesus Christ
High School Diploma
Proficiency with the church's office equipment and software – including the Microsoft Office Suite – including Word, Excel, PowerPoint, and Publisher
Demonstrated competence in using digital technology, websites and social media in communication
An ability to move freely around the church's campus and through its buildings, to assist persons in finding their way, and to carry and deliver materials
An ability to speak, write and communicate effectively
Communication Skills – presents, using outstanding verbal and writing skills, a welcoming and professional response to persons contacting the church; able to use a range of digital technologies, software, and social media platforms effectively; ensures that information is shared in an appropriate and timely way with staff and others involved in the church's ministries; keep confidences appropriately; uses healthy communication practices and promotes their use by others
Office Management Skills – demonstrates ability to plan work well in advance and to anticipate where problems and roadblocks are likely to arise; schedules the efforts of persons involved in completing projects and helps them stay on track; ensures that any required supplies will be in place when needed; uses both material and human resources effectively
Time Management Skills – manages own workflow wisely and efficiently; in a dynamic work environment, stays aware of the jobs to be done and ensures that all of them are completed in a timely way; multitasks naturally; is able to flex when circumstances require adjustments and to maintain a reasonable sense of internal balance and professional proficiency
Team Player – works consciously to be a contributing member of the church's staff; shows a commitment to helping all its members work effectively together to address the church's mission; recognizes the gifts and the needs that staff colleagues bring to their work, and encourages all in doing their best for the church
