Administrative Specialist 2 - Secondary/Postsecondary Transitions  

The Oregon Department of Education is seeking an Administrative Specialist 2 - Secondary/Postsecondary Transitions to provide administrative support to the SPST Director and team. This role involves assisting in the administration of guidelines, publications, and project/program monitoring for Secondary and Post-Secondary Transitions programs and grants.

Responsibilities

Providing administrative support to the SPST Director and team
Monitoring and tracking grant expenditures and deliverables, procurement processes, creating grant and project progress reports, and other program and project related duties
Researching information and responding to inquiries from other offices within ODE, local education agencies, State agencies, community partners, and state and federal legislator offices, and members of the public
Establishing and maintaining procedures to coordinate SPST activities and organizing and documenting projects, policies, procedures using various tools (e.g., Microsoft, Smartsheet, Google, etc.)

Required

Three years of secretarial or administrative support experience that includes coordinating office procedures, preparing narrative and statistical reports, and administrative data collection and analysis
An associate degree in general office occupations and two years of secretarial or administrative support experience that includes coordinating office procedures, preparing narrative and statistical reports, and administrative data collection and analysis
An equivalent combination of education and experience

Preferred

Strong organizational, coordination skills to support CTE programs and grants, and timelines across multiple initiatives
Clear professional communications skills, including drafting correspondence, maintaining records, and supporting communication with districts, colleges, and workforce partners
High attention to detail and accuracy, particularly in tracking data, documentation, and compliance-related materials for state and federal CTE programs
Customer-service and relationship-centered approach, working effectively with educators, administrators, and external partners across Oregon
Technical proficiency and adaptability, including comfort with office systems and application, web technology, shared databases, and learning program-specific tools and reporting processes
Commitment to equity, confidentiality, and professionalism, supporting inclusive CTE systems and handling sensitive information with discretion
