Responsibilities

Provides direct administrative support to the EAD by coordinating and executing administrative operations
Coordinates travel arrangements, itineraries, and expense reports
Plans and coordinates meetings, seminars, and other special events
Manages room reservations, calendar invites, catering, and room set-up/break-down to include basic technology support
Coordinates conference room schedules
Plans, coordinates, and arranges logistics for events in collaboration with the College’s Event Coordinator
Prepares and takes minutes at meetings
Attends meetings or committees on behalf of supervisor
Manages, receives, and prepares correspondence
Reviews and signs documents for supervisor
Supports the EAD’s office through the planning and execution of administrative operations
Develops, evaluates, and ensures adherence to internal office infrastructure procedures
Coordinates and maintains internal data and file organization
Supports the development of college-level guidelines and protocols
Coordinates and organizes office records retention and maintains office references and resource materials
Supports faculty affairs tasks as needed
May train, supervise, assign tasks, and evaluate student workers as needed
Manage awards for the college by tracking deadlines, issuing calls for nominations, and collecting and reviewing nomination packages
Coordinates and arranges for the awards committee to review all nominations, prepares reports on the final outcomes, and records this information
Collects and tracks college awards data and records the information in an internal tracking system
Supports the EAD by administering the endowed position appointments by issuing calls for nominations for open positions, collecting and reviewing nominations packages
Coordinates and arranges for the endowed position advisory committee to review all nominations, prepares reports on the final outcomes, and records this information

Required

Bachelor's degree or equivalent combination of education and experience
Three years of experience in office administration

Preferred

Experience in higher education
Five or more years of experience in office administration
Experience supporting Dean level positions and/or C-Suite positions
Ability to implement best-practice data collection and management
Project coordination experience
Experience with university awards and/or endowed position administration
Exceptional attention to details
