Responsibilities

Responsible for the maintenance and collection of loans approved by the Financial Aid Office to include Federal Perkins Loans, National Direct Student Loans, Pharmacy, Nursing, Institutional and Short-Term Loans; Ensure the short-term loans are reconciled to printed checks from accounts payable; Reconcile loan payments with student accounts; Assist in the collection of University short-term loans; Assist in the disbursement of all short-term loans; Prepare paperwork for input short-term loans to accounts receivable; Prepare charge adjustment forms when short-term loan notes are to be canceled and verify the same has been completed in Peoplesoft
Ensure that accounts are placed on registration holds; Update loans, advances, and cancellation of awards to each borrowers files in ECSI; Maintain individual loan files on all borrowers, to include promissory note, entrance and exit interview packages, loan cancellations, deferments, assignments, correspondence, and other related records; Analyze various reports provided by ECSI to monitor collection activity and determine appropriate follow-up action to be recommended to supervisor; and exercise professional judgement in employing various in-house collection techniques including admission and transcript hold, skip tracing, renegotiations of payment schedules, telephone calls, letters, etc
Assist in the placement of accounts with collection agencies; Respond to collection agency inquiries regarding assigned accounts, recommend legal action to supervisor if appropriate; Coordinate the receipt of payments; Record administration fees for loan applications and charge documents for each payment received and recorded in accounts receivable; and, assist in the accounting functions for the disbursement of long-term loans and reconciliation of outstanding loan notes with General Accounting and ECSI loan disbursement and payment to Peoplesoft, and loan payments to collection agency
Communicate with ECSI for long term loans regarding borrower's accounts; Assist in the maintenance of complete individual files on all loan accounts to include the safe guarding of promissory notes, cancellations, deferments, entrance and exit interviews, correspondence, paid loans and other pertinent loan records; Coordinate and conduct exit workshops for student borrowers as needed; and, coordinate and prepare Federal Perkins loans for return to the US Department of Education
Supervise staff in the processing of financial aid file posting and student refunds; Coordinate disbursement of EFT funds and checks with Cash Management and Warrant Distribution staff; Coordinate the Return of Title IV process for checks/efts that are undeliverable to student/parent; Reconcile all disbursements to ensure that funds are being disbursed to students; Coordinate with Information Technology staff system issues and enhancements as needed; Supervise customer service efforts in-person and via telephone; Coordinate the posting and billing process for Florida Prepaid students; Prepare documents for tuition statement requests for distribution to students and parents as needed; and make recommendations to Assistant Controller for IT enhancements and policy/procedure enhancements as needed
Inform subordinates of all relevant University Regulations and Internal Operating Procedures and provides access to all related documents; Assesses and documents subordinates' ability to comply with all relevant University Regulations and Internal Operating Procedures; Employ measures of accountability for compliance with University Regulations and Internal Operating Procedures; and conduct and document performance evaluations in a timely manner for each subordinate, in accordance with University Regulations and Internal Operating Procedures

Required

Bachelor's degree in appropriate area of specialization and two years experience; or master's degree in an appropriate area of specialization
Knowledge of the concepts, principles, and practices of accounting, budgeting, and cost control procedures
Ability to communicate effectively, verbally and in writing
Ability to gather, interpret, report, and/or edit information
Knowledge of and ability to interpret and apply related federal, state, and local laws, ordinances, rules and regulations
