Responsibilities

Monitor stock levels and assess inventory needs to ensure sufficient supply of shop, finishing, and hardware materials
Execute purchase orders and coordinate with vendors to maintain an efficient procurement process
Obtain and organize material samples for project managers while keeping the supply inventory updated
Process and verify purchase orders, invoices, shipping documents, and vendor quotes, ensuring accuracy and collaborating with accounting as needed
Review vendor confirmations and order acknowledgements, making updates and addressing discrepancies
Coordinate and track deliveries, especially for items with long lead times, to ensure timely arrivals
Prepare and manage submittal packages, transmittal forms, and shipping arrangements for projects
Maintain and update departmental tracking systems, including whiteboards and project logs
Enter project-related information into accounting software accurately and consistently
Reconcile change orders and resolve any discrepancies in collaboration with the accounting team
Proven ability to manage purchasing activities, including inventory assessments and vendor coordination
Strong organizational skills with exceptional attention to detail
Experience in supporting purchasing, inventory management, or project coordination teams is preferred
Excellent communication skills for collaborating with vendors, project managers, and internal teams
Proficiency in processing purchase orders, invoices, and other procurement-related documentation
Familiarity with accounting software and basic reconciliation processes
Ability to track and manage delivery schedules, ensuring timely fulfillment of orders
Strong problem-solving skills to address discrepancies and ensure smooth operations
