Responsibilities
Calendar Management: You'll manage the Chief Accessibility Officer's and Senior Director's calendars, keeping them well-organized and detailed. Your role involves handling requests of varying importance and adapting to changing priorities, all while ensuring your principals days run smoothly
Meeting Planning and Organization: Assists principal leaders in planning and organizing meetings by being responsible for the assembling of the agenda, location, meeting technology based upon participant needs, the accessibility, and all other meeting logistics
Travel Briefing Preparation: You'll create comprehensive travel packs for international trips and significant domestic events. This includes gathering all event details and coordinating travel logistics, along with addressing customer and team requests
Travel and Expense Management: Responsible for making in-depth global travel arrangements for principal leaders. Carefully considers and decides the optimum travel arrangements and itinerary for calendared meetings while handling Cisco expenses
Event Speaking Engagement Coordination: Works closely with the team to ensure any logistics are understood and set in motion so principal leaders are prepared for each engagement
Correspondence/Approvals: Answers general questions as needed and refers routine matters to appropriate parties. Follows up to ensure accurate completion. Takes the initiative to resolve issues within specified policies. Determines when executive action is required and supplies a recommendation where appropriate
Special Projects: Provides analytical support to assist executives on special projects
Confidentiality: Candidate will deal professionally with sensitive and confidential matters and materials
Qualification
Required
4+ years' experience in an administrative environment
A minimum of 2 years of experience supporting a principal who was at the senior director level or above
Must be able to work onsite at the San Jose Santana Row office at least two days per week and be available to support any additional San Jose-based activities as needed
Expert level knowledge of Microsoft Outlook
Intermediate level knowledge of Windows desktop computer applications: Word, Excel, PowerPoint
Experience in calendar management, planning meetings and coordinating travel
Excellent verbal and written communication skills including the ability to connect with all levels of Executive/Senior staff and clients
Preferred
Past work experience in the high-tech industry is desired
