Responsibilities

Lead the day-to-day operations of the Project Support Services team, ensuring effective service delivery for capital projects
Develop, implement, and continuously improve business processes, tools, and systems to enhance operational efficiency and consistency
Apply Lean principles to streamline workflows, reduce redundancies, and improve service quality
Oversee data integrity, performance tracking, and reporting to support data-informed decision-making
Partner with the Director to align team priorities with UCSF Real Estate’s strategic goals and capital program objectives
Provide high-level analysis and recommendations on business operations, policy, and resource allocation
Identify and address emerging challenges and opportunities, ensuring proactive planning and effective risk mitigation
Lead, mentor, and develop a team of Project Management Analysts, fostering professional growth and engagement
Promote an inclusive, collaborative, and high-performance team culture grounded in accountability and respect
Manage workload distribution, staffing plans, and performance expectations to ensure optimal resource utilization
Interpret and apply human resources policies, ensuring compliance with UC requirements and best practices in workforce management
Ensure operational practices comply with UC and UCSF policies related to finance, procurement, safety, and facilities planning
Partner with internal and external stakeholders to resolve complex issues and align processes across business functions
Represent UCSF Real Estate in cross-campus initiatives and forums, advancing collaboration and operational best practices

Required

Bachelor's degree in business administration, finance, or equivalent experience in a related field
Minimum of 5 years of progressively responsible experience in project operations, administration, or business management within a large, complex organization
5–7 years of proven people management experience, fostering collaboration and accountability within teams
Demonstrated proficiency with project management information systems such as Unifier, Primavera, and Acella
Strong interpersonal and communication skills—verbal, written, and active listening—with the ability to advise, counsel, and motivate others
Skilled in evaluating complex challenges and developing effective, timely solutions
Excellent organizational, time management, and customer service abilities to balance competing priorities and deadlines
Effective leadership and supervisory experience, including HR administration and employee development
Familiarity with capital project delivery, design, and construction industry standards and practices
Demonstrated ability to independently collect, analyze, and synthesize data to develop sound recommendations and action plans
Proven success in providing project management support for multiple concurrent projects

Preferred

In-depth understanding of organizational processes, protocols, and procedures, with emphasis on budget oversight, fund and account management, and personnel administration within applicable labor contracts and policies
Experienced in applying LEAN principles to streamline operations and improve efficiency over a sustained period (3+ years)
Comprehensive knowledge of UC, campus, and departmental policies, and the ability to interpret and apply them effectively
Strong background in financial analysis, accounting, payroll, and reporting, as well as in human resources and risk management planning
