Responsibilities

Provide a broad variety of administrative support to the Head of Operations
Maintain an extremely active calendar of meetings, arrange complex and detailed travel plans, itineraries, and agendas, manage expense reports, manage the event calendar, and compile documents (sometimes confidential and sensitive) for meetings
Plan, schedule, and coordinate meetings and conferences (both live and virtual)
Perform assigned projects requiring independent analytical thinking and judgment, with the ability to develop outstanding written communications
Prioritize conflicting needs; handle matters expeditiously, proactively, and follow through on projects to successful completion, often with deadline pressures
Establish and maintain official documents and records in appropriate files
Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution
Professionally interact with internal and external stakeholders. Arrange events and venues for critical meetings and assist with travel coordination. Ensure relevant material is collected and distributed professionally from many constituents utilizing a strong attention to detail
Manage other projects as needed

Required

University degree or equivalent prior experience in an executive administrative support role
At least 2 years supporting a Sr. Level executive with global responsibilities
Advanced computer skills including Word, Excel, PowerPoint, and Outlook
Experience with collaboration technology (e.g., SharePoint, Microsoft Teams, etc.)
Strong attention to detail
Demonstrated accuracy and thoroughness of work
Ability to monitor own work to ensure quality
High level of interpersonal skills to handle sensitive and confidential situations with discretion
Demonstrated poise, tact, diplomacy, and a positive can-do attitude
Ability to work in a fast-paced complex environment
Innovative and creative in work responsibilities
Knowledgeable in creating an effective workflow
Excellent organizational skills
Strong analytical ability to gather and summarize data for reports
Ability to find solutions to various administrative problems
Ability to prioritize work
Ability to maintain the highest level of integrity and confidentiality
