Responsibilities

Attend work on a regular and predictable schedule in accordance with agency leave policy and perform other duties as assigned
Assist with safety and environmental surveys to ensure a safe environment of care
Initiate work orders for necessary repairs/renovation of assigned buildings; submit work orders for issuance of keys to unit staff, submit work orders to coordinate office moves as requested to maintain a safe and efficient work environment
Maintain inventory of all state property within the program
Provide general clerical support to program
Assist in planning monthly departmental and committee meetings and taking notes for meetings
Assist with the compiling and entry of assigned departmental data including attendance and satisfaction surveys for monthly, departmental PIT and Unit Management Committee meetings, as well as in the tracking of the implementation and completion of training rosters
Perform other duties as assigned in order to ensure services are provided. Other duties as assigned include but are not limited to actively participating and/or serving in a supporting role to meet the agency's obligations for disaster response and/or recovery or Continuity of Operations (COOP) activation. Such participation may require an alternate shift pattern assignment and/or location. Other duties as assigned includes backing up other positions within the department at 100% of work time at the discretion of the director. This includes, but is not limited to, extended sitting, computer-based duties, extended typing, running errands to multiple campus locations and sorting/filing paper documents. Duties, location of work and shift pattern are subject to change as determined by administration in order to meet department and hospital needs

Required

Minimum of two (2) years' full-time experience in a clerical or administrative role
Relevant work experience utilizing computers with Microsoft Office software, including Word, Outlook and Excel
Knowledge of office practices and administrative procedures
Ability to communicate effectively and to train others
Ability to implement administrative procedures; to interpret rules, regulations, policies and procedures; to communicate effectively; and to train others
Ability to perform tasks with a high degree of accuracy and pay close attention to detail
Ability to analyze and solve work problems, and to obtain and sustain the cooperation of others
Must have the ability to be trained on and conduct Treatment Intervention and Protection Strategies (TIPS)
Skills to operate a computer and utilize software such as Outlook, Microsoft Office Word and Excel
Skills to organize workloads, set priorities and meet deadlines
Skills in verbal communication with general public and team members
Applicants must pass a fingerprint criminal background check, pre-employment drug screen, and registry checks including the Client Abuse/Neglect Reporting System (CANRS), Nurse Aid, Medication Aide and Employee Misconduct, List of Excluded Individuals/Entities (LEIE)
All applicants must be at least 18 years of age to be considered for employment at a state-operated facility
Flexibility in work hours may be required for this position
Compliance with HHSC immunization policy and state hospital operating procedures related to immunizations is required
