Responsibilities

Manage a shared billing inbox by reviewing vendor invoices, responding to payment inquiries, and organizing incoming bills
Enter vendor invoices into the accounting/payment system for processing, ensuring accurate account coding in accordance with the chart of accounts
Allocate expenses to the appropriate business units or locations and verify operational status at the time of invoicing
Route invoices to designated approvers and ensure timely authorization prior to payment
Perform daily bank reconciliation activities by matching and clearing transactions across multiple bank accounts
Review transactions that automatically import from bank accounts and corporate card platforms into the accounting system
Investigate, identify, and flag unknown or unmatched transactions for review and resolution
Ensure daily reconciliation tasks are completed consistently to support efficient month-end close
Collaborate with accounting team members through internal communication channels
Participate in regular team meetings to review priorities, deadlines, and weekly tasks
Assist with payroll-related reporting and administrative support as needed (excluding payroll processing)
Adhere to established accounting workflows and internal controls while identifying opportunities for process improvements
Maintain organized and professional communication across multiple internal channels based on workflow needs

Required

You have experience with U.S. GAAP accounting principles
You're proficient in QuickBooks or similar ERP/accounting systems
You have strong accounts payable experience, including invoice entry, expense coding, and routing for approval
You're highly organized and detail-oriented with the ability to manage multiple priorities
You're a clear, professional communicator who asks questions and seeks clarification when needed
You're reliable, proactive, and accountable for timely, accurate work
You enjoy collaborating and thriving in a remote team environment
You are willing to work in a US time zone schedule
You can secure the required technical setup, including: At least a 720p HD webcam, A noise-canceling headset, A primary internet connection of at least 25 Mbps, A backup laptop, backup internet device, and backup power source, A main computer with at least Intel Core i5 (or equivalent) and 8 GB RAM, A backup computer with at least Intel Core i3 and 4 GB RAM
