Program Support Assistant
The U.S. Department of Veterans Affairs is seeking a Program Support Assistant at the Tibor Rubin VA Medical Center. The primary purpose of this role is to support the operations of the Medicine & Inpatient Health Care Group by performing a variety of program support functions for clinical areas and supervisors.

Responsibilities
Organizes work by reading and routing incoming correspondence - collecting information - and distributing and organizing supplies and program material for meetings and events
Maintains time and attendance records by accurately recording tour of duty information from bi-weekly timesheets into employee timecards and producing reports related to hours worked - leave utilization - overtime - and daily staffing
Maintains employee - registry - and contract personnel folders and prepares Requests for Personnel Actions
Interacts with staff - vendors - and other health care groups to exchange information - clarify terminology - determine priorities of projects - and resolve routine issues
Provides general non-medical information and responds to inquiries from staff - patients - and visitors in a courteous - tactful - and respectful manner
Handles conflict and problems constructively when dealing with customers while supporting VA missions and established policies and procedures
Prepares documents using Microsoft Word - Excel - PowerPoint - Access - electronic mail - calendars - spreadsheets - and databases to support office and program needs
Serves as office automation technical support expert (ADPAC) - assisting staff with software and automation system issues
Requests Personal Identification Verification (PIV) cards - room key assignments - work orders - space requests - supply and equipment requests using automated systems
Collects - organizes - and maintains program information - reports - and correspondence to support managers and administrators within the Medicine and Inpatient Healthcare Group
Monitors compliance by producing reports related to hours worked - leave utilization - overtime - and daily staffing - and sharing information with leadership as needed
Tracks and maintains records related to PIV cards - room key assignments - and access for staff - ensuring accurate and up-to-date information
Qualification
Required
One year of specialized experience (equivalent to the GS-04 grade level in the federal service); experience that equipped the applicant with the particular abilities and other characteristics to perform successfully the duties of the position
Experience where you were responsible for providing administrative support
Collecting, compiling and tracking data and information
Processing documents and reports
Establishing, updating and maintaining office files and records
Performing automation duties using software applications such as word processing, spreadsheet, electronic mail, desktop publishing, calendar, database and/or graphics
Answering telephones, referring visitors, and providing information
A full year of work is considered to be 35-40 hours of work per week
Applicants wishing to receive credit for experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment
Applicants may substitute education (4 yrs above high school) for the experience required for the GS-05 level
Applicants may also combine education (4 yrs above high school) and experience to qualify at the GS-05 level
A transcript must be submitted with your application if you are basing all or part of your qualifications on education
Experience refers to paid and unpaid experience, including volunteer work done through National Service programs and other organizations
You will receive credit for all qualifying experience, including volunteer experience
