Responsibilities

Oversee all print production projects from estimating and vendor selection to proofing, press checks, and final delivery
Collaborate with designers and account managers to translate creative concepts into high-quality, on-brand printed materials
Source, evaluate, and maintain relationships with print vendors, paper suppliers, and specialty finishers
Negotiate cost and approve vendor bills
Manage print budgets, timelines, and specifications to ensure quality and cost-effectiveness
Track and manage inventory of printed collateral, packaging, and marketing materials
Maintain a well-organized, efficient, and inspiring office environment
Manage vendor relationships for office supplies, equipment and facility needs along with submitting purchasing documentation to accounting
Support agency culture through scheduling meetings, company events, and team initiatives
Serve as primary point of contact for building management, housekeeping, and other service providers
Implement and maintain internal systems for scheduling, file management, and workflow organization
Open and distribute mail
General support including taking notes on team/client meetings, maintaining project action items and timelines, and conducting Internet research
Support the account management team with obtaining purchase orders (POs) from the client, invoice management, prepare & ensure accurate documentation and timely processing to accounting department
Occasional bank deposits and scanning supporting documentation

Required

Print production and shipping knowledge required
Exceptional proficiency required in Word, Excel, PowerPoint, and Email
Outstanding written and verbal communication
Strong grammar skills
Ability and confidence to engage clients and vendors professionally
Must be a detail-oriented individual with the ability to organize, prioritize, schedule and follow-up in a fast-paced, deadline-driven environment
Team player with strong work ethic
Bachelor's degree or equivalent experience in business administration, design production, or related field
3–5 years of experience in print production, operations, or office management — preferably in a creative, marketing, or design agency
Strong understanding of print production processes (offset, digital, large format, packaging, etc.)
Proficiency with Microsoft Office, and project management tools (e.g., Airtable)
Excellent organizational, communication, and multitasking skills
Ability to anticipate needs, solve problems creatively, and collaborate across teams

Preferred

Agency experience preferred
Familiarity with Adobe Creative Suite (for reviewing proofs or file prep)
Experience managing branded merchandise, packaging, or promotional products
Negotiation and vendor management experience
Enthusiasm for agency culture and supporting creative teams
