Responsibilities

Coordinate logistics for virtual and in-person programs, webinars, and resources (calendars, scheduling, Zoom links, communications)
Coordinate with external vendors, partners, and facilities for programs and events
Manage program materials, inventory, and shipping
Build and maintain checklists, timelines, and repeatable processes
Anticipate needs and resolve issues proactively
Distribute and organize evaluations and feedback
Support planning and execution of signature programs and events
Coordinate registrations, materials, and run-of-show logistics for in-person and virtual programs
Maintain accurate enrollment, attendance, and participation data via Monday.com, Google forms, and other digital tools as we grow
Track workflows and deadlines using Monday.com and related tools
Flag data inconsistencies and system gaps
Serve as a welcoming point of contact for families
Support intake, enrollment, and ongoing participation logistics
Assist with volunteer scheduling, onboarding logistics, and training materials
Escalate sensitive situations when appropriate

Required

Must be based in the Chicago, IL or Los Angeles, CA metro areas

Preferred

1–2 years of related experience (including internships or volunteer roles) with logistics, programs, or events
Experience working with families, volunteers, and external partners
Familiarity with tools like Monday.com, Airtable, Asana, or Salesforce, and Google Workspace
Comfort working remotely or in hybrid environments
A sense of humor
Experience working with diverse communities
A personal connection to our mission
