Responsibilities
Prepare and format project proposals, ensuring all supporting documents are compiled accurately
Submit and track project submittals and product data for approval, coordinating with architects, engineers, and clients
Collaborate with project managers to develop and monitor contract budgets
Draft, manage, and log change orders while ensuring consistency with project scope and budget
Organize and submit Requests for Information (RFIs), following up to ensure timely responses
Coordinate the preparation and submission of project closeout documentation
Maintain detailed and organized records for projects in both digital and physical formats
Communicate with various internal departments to support operational needs and ensure timely delivery
Generate progress reports and cost analysis to track project performance
Ensure compliance with contractual and regulatory requirements throughout project execution
Qualification
Required
5+ years of experience in an administrative or project support role; construction or surfacing industry experience is a plus
Strong knowledge of Microsoft Office Suite (Excel, Word, Outlook); experience with Foundation software and Adobe InDesign is a plus
Excellent organizational skills and attention to detail
Ability to manage multiple tasks with competing deadlines
Ability to work effectively under tight deadlines and manage multiple priorities
Familiarity with construction project workflows and terminology
Experience with RFIs, submittals, and closeout documentation
Preferred
Prior experience in the AEC industry desired, specifically with sports construction projects
Experience playing, coaching, or cheering for your favorite sports teams
