Administrative & Operations Coordinator
Five Seasons Painting is a growing painting company seeking a highly organized and detail-oriented Administrative & Operations Coordinator. This role is critical for managing backend systems, customer communication, and contractor documentation while delivering excellent customer service.
Construction
Responsibilities
Organize and manage jobs in JobTread (project setup, documents, statuses)
Prepare and submit subcontractor packets, vendor paperwork, and pre-qualification forms
Maintain certificates of insurance (COIs) and compliance documents
Assist with internal organization and process improvements
Assist with ADP payroll backend:
Employee setup and updates
Time tracking coordination
Basic payroll data support
Coordinate payroll-related information with management (no tax strategy or accounting decisions required)
Answer inbound phone calls professionally
Call customers and potential customers to:
Schedule estimates
Follow up on proposals
Handle basic questions and updates
Represent Five Seasons Painting with excellent customer service and communication
Qualification
Required
Strong administrative and organizational skills
Comfortable working in multiple systems and software tools
Experience with JobTread, ADP, or similar platforms (or fast learner)
Clear, professional phone and email communication
Attention to detail with paperwork and compliance documents
Ability to prioritize tasks in a fast-paced environment
Preferred
Construction, painting, or trades industry experience
Experience with subcontractor onboarding or commercial pre-quals
CRM or project management software experience
