Senior Administrative Assistant, Foundation

Responsibilities

Serve as secretary to the Foundation Board of Directors, Executive Committee, Finance Committee, and other ad hoc committees
Responsible for proactive and professional communication to Foundation Board of Directors (agenda, minutes, scheduling, follow up, etc.)
Maintain consistent and timely front desk support (answering phones, assisting students and faculty visitors, supporting and welcoming Foundation guests, etc.)
Oversee the organization and distribution of departmental mail, donations, and other correspondence
Manage the majority of the aspects of executing annual mailings; includes help editing appeals, designing gifts/cards, merging letters, ordering all envelopes needed from the print shop, print mailing labels, and stuffing letters to send out
Act as the lead for Foundation events; manage and organize logistical coordination of Foundation donor recognition projects and events; includes designing and sending out invitations, reserving event spaces, handling catering, etc
Work with faculty and staff across all campuses to facilitate accurate gift-in-kind recognition
Assist Foundation team with scholarship review and award process as needed, as well as assist scholarship administrators in researching current scholarships and awarding as needed
Prepare, print, mail and make revisions to donor acknowledgements and thank you letters annually
Plan, organize and provide administrative support for all annual reporting
Responsible for execution of all Foundation supplies and equipment orders, as directed; order and maintain adequate office supplies; keep the break room organized and clean; keep refrigerator stocked with beverages and snacks for donors
Assume other administrative duties as assigned
Availability to work evenings and weekends to support events as needed
Serve on search committees and train new employees if requested
Adhere to legal requirements and regulations maintaining confidentiality and utilizing discretion with donors and students
Assist with student registration or scholarship application processes as requested
Support divisional budgeting and planning processes; compile information and data; prepare requisitions; coordinate purchasing activities as assigned
Perform related duties and responsibilities as required
Will provide assistance to the President’s Office as requested

Required

Associate's Degree or higher in a related field
1-3 years of experience in an administrative/clerical capacity involving public contact with responsibilities requiring tact and confidentiality
Mastery of computer skills with knowledge of all Microsoft Office Programs
High technical proficiency and ability to learn new software, databases, systems, etc. quickly and easily
Business protocol and etiquette
General principles and practices of fiscal, statistical, and administrative data collection and report preparation
Skills in the use of database management, word processing, spreadsheet and presentation software
Mastery of Microsoft Office Suite software (Word, Excel, PowerPoint, and Access)
Principles and procedures of record keeping and reporting
Advanced principles of business letter writing and report preparation
Mastery of formal/business English communication, including spelling, grammar, punctuation, and style
Basic mathematical principles
Principals and techniques used in public relations, marketing, and communications
Perform responsible and complex administrative work involving the use of independent judgment and personal initiative
Thorough knowledge of college operations and policies with ability to interpret and apply the policies, procedures, laws and regulations of the business unit to which assigned
Work independently and proactively in the absence of supervision
Establish and maintain cooperative working relationships with all CFCC colleagues
Skilled at customer service and dealing with the public, can respond to difficult requests and inquiries with ease and calm; solution-focused
Maintain effective audio-visual discrimination and perception needed for making observations, reading and writing, communicating with others, operating assigned equipment, and handling varied tasks simultaneously
Maintain physical condition appropriate to the performance of assigned duties and responsibilities, which may include standing or sitting for extended periods of time, operating assigned equipment, handling varied tasks simultaneously, bending, stooping, climbing, or lifting up to 10 pounds
Maintain mental capacity, which allow the capability of making sound decisions, responding to questions, demonstrating intellectual capabilities

Preferred

Bachelor's Degree or higher with a combination of equivalent experience
Experience in Raisers Edge or other donor management systems
Experience in digital marketing and/or proficiency with email marketing software
Experience supporting an Advancement or other Higher Education department
