Secretary II -Cardiac/Pulmonary Rehab

Responsibilities
Co-ordinate all orders for cardiac rehab including EPIC and non-EPIC orders. Calling physicians office as needed to ensure all orders are formatted correctly
When receiving faxed orders ensure the are correctly formatted, correct diagnosis, meets eligibility, within appropriate time frames, etc. and then fax to central scheduling
Phone patients to explain program details and give instructions on how to register for program via Central Scheduling dept
Be familiar with EPIC, to collect specific medical information specific to cardiac rehab needs and check that all referrals are authorized
Drop department charges daily in EPIC
Answer phones and check for voicemail
Order all supplies for dept (workday, office products, food and nutrition, educational materials etc.)
Mailroom - ingoing and outgoing
Be proficient with Microsoft office products and enter data
Manage the Cardiac Rehab EPIC WorkQ daily and contact patients and physicians when needed
Request tickets for service (Bio-Med, housekeeping, facilities etc.)
Schedule and arrange meetings and/or appointments with multiple attendees. Make decisions regarding revision of supervisor’s/staff’s schedule to accommodate meetings and appointments
Work with outside vendors providing functional services to the area (e.g., arranging for temporary personnel, directly purchasing products, etc.)
Take action upon mail and/or correspondence received by area
Organize special events: secure space, prepare memo and /or notify participants, arrange for equipment as necessary, assure room set-up, order refreshments, etc
Complete billing; process employee profiles, payroll, etc. for department
Enter data into database or spreadsheet, perform analyses from data, and create specialized reports
Type letters, memoranda, reports, and other types of correspondence from rough drafts or provided copy
Compose correspondence from notes and/or discussions with supervisor and/or staff
Collect data and develop and/or prepare departmental reports. May do some analysis of data and/or mathematical calculations
Maintain records and files within the department/unit
Create and set up filing systems for department/unit
Qualification
Required
H.S. or equivalent and 2-4 years secretarial experience
Associates degree and 1-2 years secretarial experience
Typing 55-60 words per minute preferred
Able to use several software packages
Ability to create spreadsheets preferred
