Office Coordinator

Davidson Bogel Real Estate is seeking an Office Coordinator to manage reception and office operations. The role involves greeting clients, handling phone calls, coordinating office supplies, and providing HR support for incoming employees.

Responsibilities

Greets and directs clients to appropriate individuals or meeting rooms
Answers all incoming phone calls, operate the company switchboard, and fields calls to the appropriate person
Transcribes after-hours voicemails and sends messages to appropriate party
Manages incoming meetings and organizes catering as needed
General housekeeping of the reception area
Review, sort and distribute all incoming and/or outgoing mail; prepare outgoing mail and deliver to the Post Office/UPS/FedEx
Restocking/cleaning kitchen throughout the day and at the end of day
Restocking/cleaning conference rooms after each meeting
General housekeeping of the entire office
Order daily lunch for Partners
Handle any maintenance or repairs with building management
Liaison between IT and employees to ensure issues are resolved in a timely manner
Maintain organization of file, supply, and storage areas
Set up desks for incoming employees, including ordering computers, monitors, phones, and other supplies
Manage and maintain a filing system for Partners and COO
Ordering business cards
Office and Kitchen Supplies – keeping stock and ordering inventory
Miscellaneous orders for Partners
Constant communication with the Executive Assistant
Provide backup support to the Executive Assistant for travel arrangements, including reservations, ground transportation, and itineraries, and provide updates as needed
Assist Executive Assistant(s) as needed

Required

High school diploma
2-4 years' experience as a receptionist or admin assistant with heavy phone usage
A high degree of professionalism on the phone and in person
Exceptional organization skills and attention to detail
Ability to complete tasks and projects with little oversight
Self-motivated
Strong ability to multi-task
Able to use a switchboard
Proficient in Excel, Word
