Responsibilities
Provide comprehensive administrative support to key stakeholders, including calendar management, travel booking/logistics, and general site support
Act as the primary point of contact for customers and visitors, delivering a world-class reception and customer service experience
Manage office reception, supplies, and overall facility operations to ensure smooth day-to-day functioning
Oversee all office, facility, and HSE-related vendor relationships (cleaning, repairs, facilities, security, HSE, etc.), including liaison with the landlord and Property Manager
Administer vendor and procurement processes, including vendor creation documentation, purchase ordering, invoice tracking, timely submission, and compliance with procurement policies
Track facility-related expenses and budgets
Implement, coordinate, and maintain facility-related HSE, security, and business continuity procedures in collaboration with HR, Compliance, and relevant stakeholders (e.g., fire drills, COVID protocols)
Coordinate internal and external events, corporate tours, and branding activities, including all facility and site-related arrangements
Support onboarding of new hires by coordinating site readiness and plans with relevant functions
Prepare and support internal visual communications (e.g., office newsletters) in collaboration with Communications and HR teams
Manage facility documentation, remote archiving, inventory, and administrative trackers
Support line managers and leadership with facility-related projects and ad hoc site initiatives as required
Qualification
Required
High School Diploma or Equivalent and 4 years of relevant experience required
Strong interpersonal, customer service, organizational and communication skills
Ability to multitask
Friendly and upbeat demeanor
Excellent computer skills with a high degree of proficiency in Microsoft Office Suite including Word, Excel, Outlook, and PowerPoint
Preferred
Bachelor's Degree highly preferred
Experience with billing and accounts receivable desirable
