ADP Payroll Specialist

Everett J. Prescott Inc. is a family-owned waterworks supply company seeking a full-time ADP Payroll Specialist. The role is responsible for overseeing and executing all aspects of payroll and benefits administration using ADP Workforce Now, ensuring compliance with regulations and maintaining data integrity.

Responsibilities

Administer and process biweekly/multi-state payrolls accurately and on time using ADP Workforce Now
Ensure all payroll transactions are processed in accordance with federal, state, and local laws and company policies
Maintain payroll records and employee data, including new hires, terminations, promotions, and other changes in ADP
Manage year-end processing including W-2s, ACA reporting, and assisting with tax filings
Serve as the primary liaison with ADP for payroll-related issues and enhancements
Monitor and implement legislative changes affecting payroll processes and tax compliance
Oversee the administration of health, dental, vision, life, disability, 401(k), COBRA, and other company-sponsored benefits
Ensure benefits data is accurately reflected and maintained in ADP Workforce Now
Administer qualified life event changes and ensure timely processing through ADP
Act as the main point of contact for employee benefit inquiries and resolve issues with providers
Maintain compliance with federal and state labor laws, ERISA, FLSA, HIPAA, and ACA regulations
Generate and distribute requested reports for management, finance, HR, and auditors
Ensure all payroll and benefit documentation is securely stored and maintained in accordance with company policies and regulatory requirements
Provide guidance and support to employees regarding payroll questions, benefit plans, and enrollment processes
With HR, train employees and managers on ADP Workforce Now functionality relevant to their roles
With HR, develop clear and concise communication materials regarding pay, benefits, and system use

Required

In-depth knowledge of ADP Workforce Now
Strong understanding of payroll tax laws at the federal and state levels
Ability to work autonomously
Confidentiality and Integrity - Maintains the highest level of discretion and confidentiality when dealing with sensitive employee and organizational information
Expertise in ADP Workforce Now - Comprehensive understanding of ADP modules including Payroll, Benefits, Time & Attendance, and Reporting
Proven ability to configure, troubleshoot, and optimize system workflows
Proficient in processing multi-state payroll, managing garnishments, payroll taxes, and year-end filings including W-2's and ACA compliance
Strong knowledge of benefits administration including health, dental, vision, life insurance, 401(k), COBRA, FMLA, and state leave (paid or otherwise) programs
Experience managing open enrollment and virtual enrollment platforms
Up-to-date understanding of payroll and benefits laws and regulations (e.g., FLSA, ERISA, ACA, HIPAA, IRS, DOL)
Ability to ensure compliance across all processes
Exceptional accuracy in managing payroll and benefits data
Skilled in audits, reconciliations, and identifying discrepancies or process gaps
Able to communicate complex information clearly to both employees and executives
Effective in resolving employee inquiries and fostering trust, all while maintaining the highest levels of confidentiality
Demonstrated ability to independently troubleshoot system and process issues, identify root causes, and implement timely solutions with minimal supervision
Capable of independently leading cross-functional projects such as virtual open enrollment implementation, system upgrades, or process automation
Skilled in Microsoft Office Suite (especially Excel), ADP reporting tools, and document management systems
Comfortable learning and applying new HR technologies
