Customer Service Specialist

Bio-Gro, Inc. is seeking a Customer Service Specialist to manage interactions with customers, from order processing to invoicing. The role involves addressing inquiries, managing sales orders, resolving issues, and ensuring accurate billing while providing professional support to both internal and external customers.

Responsibilities

Monitor sales order requests and communicate with relevant departments
Generate and disseminate invoices for goods/services rendered
Process and post transactions and provide Controller with all transactional backup
Reconcile prepaid accounts and process them as needed
Upload scanned documents to the accounting system
Research and resolve account discrepancies
Regularly monitor the AR aging report, and actively work the aging accounts for collections
Generate finance charges and monthly statements
Maintain AR filing system, and store historical records for a period of 7 years
Customer maintenance, including yearly updates
Periodically update customer price list
Following R&D protocol for invoicing
Assist with fiscal audit as it relates to AR
Confer with customers by telephone or in person to provide information about products or services, take or enter orders, cancel accounts, or obtain details of complaints
Keep records of customer interactions or transactions, recording details of inquiries, complaints, or comments, as well as actions taken
Check to ensure that appropriate changes were made to resolve customers' problems
Determine charges for services requested, collect deposits or payments, or arrange for billing
Assist with other tasks as directed by Controller

Required

High School diploma/GED required
Associate degree in accounting or at least 2 years' experience in similar role
Strong written and verbal communication skills
Strong organizational and time management skills
Proficient in Microsoft Office Suite or similar software
Familiar with ERP software systems
Self-motivated and able to work under pressure
Assertive, optimistic, resilient, and welcomes change
Customer and Personal Service - Knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction
Mathematics - Knowledge of arithmetic, algebra, geometry, calculus, statistics, and their applications
Economics and Accounting - Knowledge of economic and accounting principles and practices, the financial markets, banking, and the analysis and reporting of financial data
