Administrative Assitant (contract)

Responsibilities
Manage complex calendars for senior executives including a Vice President and General Manager, triaging and scheduling meetings with business stakeholders efficiently
Coordinate comprehensive travel arrangements and process business expenses with accuracy and attention to detail
Provide onsite office support for teams working on campus, facilitating smooth daily operations
Coordinate meetings, events, and logistics for Team Week events held twice annually
Support return-to-office initiatives and team-building activities as teams transition back to campus
Manage procurement of goods and services including computer equipment, office supplies, and reference materials
Serve as primary department contact and liaison for internal and external business partners
Support operational readiness for leadership meetings, new hire onboarding, and ad-hoc business needs
Coordinate small-scale events and cross-functional collaboration initiatives
Complete special projects as assigned with minimal supervision
Maintain vendor relationships and manage facility operations as needed
Qualification
Required
Minimum 3 years of executive administrative support experience
Recent experience working within similar corporate environments within the past 6 to 12 months
Proven track record managing complex executive calendars and short-notice requests
Experience coordinating travel, expenses, and event logistics
Background supporting senior leadership in high-visibility organizations
Advanced calendar management and scheduling expertise
Proficiency in Microsoft Office Suite
Exceptional organizational skills including time management and prioritization
Strong attention to detail and ability to maintain well-organized workspace
Excellent written and verbal communication abilities
High degree of flexibility and adaptability to changing priorities
Ability to work effectively under pressure in fast-paced environments
Professional demeanor and discretion when handling confidential information
Problem-solving skills and proactive approach to challenges
Strong interpersonal skills and team collaboration abilities
