Responsibilities

Ensure all administrative tasks are completed on time and to high standards by monitoring workflows and adjusting as necessary
Greet visitors, answer phones and manage correspondence
Managing financial records, including accounts receivable and payable
Generating and reviewing customer payments and buyer invoices
Manage data entry tasks to ensure accurate record-keeping
Oversee inventory levels, ordering supplies, and managing stock
Managing staff schedules, processing timesheets, and assisting with new hire paperwork (onboarding)
Assign tasks to office admins or customer service reps based on their skills and workload to ensure efficient operations
Works with HR to update office policies and ensure compliance with regulations
Organize training sessions to enhance the skills of the branch admins and customer service reps to keep them updated on new technologies and procedures
Handling customer service requests and ensuring a positive experience for customers, suppliers and visitors
Provides support to the Branch Manager and Division Office
Oversee the management of customer accounts, ensuring the admins handle billing, invoicing, and customer inquiries efficiently
Oversees office technology needs
Coordinates office building services such as cleaning and maintenance
Assists with various safety initiatives and ensuring compliance with safety regulations

Required

High school diploma/GED or equivalent required
4+ years of experience in an administrative role
Proficiency in Microsoft Office software (Word, Excel, etc.)
