Receptionist/Administrative Assistant

They are seeking a Temporary Receptionist/Administrative Assistant who will serve as the first point of contact for visitors and callers, providing administrative support to the Administration Department and the Management Team.

Responsibilities

Place, screen, receive, and route calls for management, auditors, and administrative staff; route incoming faxes and voicemails to the appropriate parties
Greet and direct all visitors, including vendors, clients, and job candidates; ensure the Firm’s lobby and conference rooms remain clean, organized, and presentable
Sort and distribute all incoming and outgoing mail; operate postage equipment for USPS and other carriers, order postal supplies, and request messenger services as needed
Coordinate with the Accounting Department by providing daily, weekly, and monthly reconciliation reports on postage costs
Oversee maintenance of office and kitchen supplies, including monitoring inventory, updating stock levels, and distributing supplies with proper approval
Provide support to Partners, including scheduling and organizing meetings and arranging work‑related travel
Assist in coordinating logistics for Audit Department meetings, departmental events, and Firm‑wide events
Arrange flight, hotel, and car reservations, and perform additional tasks to support efficiency within the Audit Department
Assist with pre‑boarding and onboarding requirements for new hires
Serve as one of the primary contacts with the Office of the Building for maintenance issues and follow‑up on repairs
Assist with special projects as needed, within the scope of the role

Required

Associate's degree (A.A.) or equivalent from a two‑year college or technical school; •or• six months to one year of related experience and/or training
Proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and basic skills in handling and editing PDFs
Excellent verbal and written communication skills
Strong organizational abilities, including effective multitasking and prioritization
High attention to detail and accuracy in data entry
Ability to work independently and collaboratively within a team
