Unit Secretary

Charles E. Smith Life Communities is a faith-based nonprofit senior services organization dedicated to providing quality care to older adults. The Unit Secretary will assist the Nurse Manager/Charge Nurse with recording and charting medical information while providing administrative support to the nursing department.

Responsibilities

Record medical and administrative information
Maintain the Daily Census Report and submit to Nurse Manager/Supervisor
Maintain an up-to-date roster of residents for your assigned unit
Answer telephone, page calls, deliver messages to residents, etc. as necessary
Record appropriate resident identification data on designated medical records, wristbands, ID cards, etc. as required
Transcribe physicians’ orders to medication cards, treatment plans
Prepare charts for weekly rounds
Record vital signs and weights on the Interdisciplinary Progress Notes
Forward new diet orders / changes to Food Services
Arrange resident appointments and keep nursing service staff informed
Schedule and requisition lab work and x-rays
Prepare forms for daily assignment sheets, shower schedules and other unit activities
Complete necessary medical and administrative records upon the resident’s admission, transfer and/or discharge
Maintain adequate quantities of forms, materials, supplies and equipment
Inform nursing service staff of new admissions and prepare chart
Assist Medical Records Assistant in duties of processing, maintaining, storing and retrieving of medical records
Handle release of medical record requests as per facility policy
Identify areas of growth for the unit regarding record keeping to the Nurse Manager

Required

Must possess a high school diploma
On-the-job training can be provided in medical records procedures

Preferred

Certificate of study in medical terminology or an equivalent combination of education and experience is preferred
