Staff, Programs - Intake Associate

Responsibilities
Optimize referral flow across all MHOTRS Behavioral Health Programs by efficiently coordinating with the Client Intake and Experience Manager to reduce delays and improve client access to services
Enhance client engagement and service delivery by applying clinical and cultural sensitivity when interacting with referral sources and individuals seeking or undergoing the intake process
Improve accuracy and case assignment by working with Program Directors and Managers to match clients to appropriate clinicians based on program criteria, availability, and identified clinical needs
Strengthen compliance and service quality by maintaining timely, precise documentation in the Electronic Health Record system in accordance with agency standards and New York State Office of Mental Health regulatory requirements
Accelerate intake decision-making by collaborating with referral sources and prospective clients to gather complete, clinically relevant documentation used to assess eligibility and readiness for intake
Support efficient clinical review process by preparing organized, high-quality intake documentation for review by the Client intake and Experience Manager
Increase transparency and client satisfaction by providing clear, timely communication about intake statuses, next steps, and expectations to clients, guardians, and internal teams
Improve client connection to appropriate resources by maintaining an accurate referral database for individuals needing alternate levels of care, ensuring no client is left without support
Reduce service delays and improve operational efficiency by assisting with the active management of clinic waitlists and identifying opportunities to streamline client placement
Qualification
Required
Bachelor's degree required (BSW, BA)
Experience working in a community-based mental health or behavioral health setting
Fluency in Spanish required
Strong clinical and cultural sensitivity when engaging clients and referral sources
Excellent communication and interpersonal skills
Proficiency with Electronic Health Records (EHR) and accurate documentation practices
Strong organizational, time-management, and multitasking abilities
Ability to assess client needs and support appropriate case assignment and referral decisions
Effective collaboration skills when working with internal teams and external partners
