Responsibilities
Receive, review, and process vendor invoices and expense reports for accuracy and proper authorization
Match receipts and invoices to ensure accurate payment processing
Schedule and prepare payments via check, ACH, or credit card according to company policies
Maintain vendor files and ensure W-9 and other compliance documentation are current
Research and resolve invoice discrepancies or payment issues promptly
Assist with year-end 1099 preparation and reporting
Assist with vendor credit applications
Assist with inventory management
Prepare and issue member statements and collect all member payments
Record member payments, monitor outstanding balances, and perform regular account reconciliations
Communicate with members regarding billing inquiries and payment status
Follow up on overdue accounts and assist in collection efforts
Maintain accurate AR aging reports
Assist with month-end and year-end closing activities, including reconciliations and reporting
Support audits by providing required documentation and account details
Ensure compliance with company policies and internal controls
Collaborate with team members to streamline accounting processes and improve efficiency
Qualification
Required
Strong interpersonal and relationship-building skills
Excellent written and verbal communication
Ability to manage multiple priorities and adapt quickly
Analytical skills to interpret data and drive decisions
Must be able to sit for prolonged periods of time
Ability to sit, stand, and move within office and event environments
Lift, push, or pull up to 25 lbs
Preferred
Knowledge of hospitality industry and luxury service environments preferred
