Development Fund Manager - Development Services

Responsibilities
This position is responsible for the effective and efficient creation, management and implementation of processes and procedures to establish and monitor endowments, accumulation, and current purpose gift accounts. The Fund Manager is also accountable for the maintenance of the official hard copy and/or electronic endowment and fund records
Identifies and implements appropriate internal controls to ensure data integrity for institutional endowments and gift funds. Responsible for developing and adhering to a schedule of periodic process and procedure review
Works with university departments to coordinate the establishment and allocation of gifts to appropriate funds
Responsible for the timely and accurate recording of all fund data into Raiser’s Edge, ensuring funds are appropriately linked and verifying that PeopleSoft accounts and fund codes are correct
Notifies designated departments when new gifts are received, requests the necessary PeopleSoft information and forms required for account creation. Communicates the intention of the gift and any reporting requirements
Serves as campus expert for the language and format of gift agreements. Works with Development Officers (DOD) to draft new gift agreements. Coordinates the review of draft agreements between the DOD and representatives at The University of Texas System (UTS). Develops and routinely distributes to DODs guidelines for creating and formatting gift agreements. Maintains a collection of agreement examples as reference material
Responsible for the process and procedure required to establish endowments. Coordinates the establishment of endowment accounts (UTMB and UTS) and the fund transfer with the department owner and the Treasury. Using SABER, submit the online request to the UT System for Board of Regents approval. Notifies endowment holders and/or account signatories and other stakeholders about the establishment of new endowments and communicates critical details such as endowment purpose, expenditure criteria, donor information, and other compliance rules, regulations, and reporting requirements
Serves as primary contact in the Development Office for endowment-related information. Analyzes, investigates, and coordinates or responds to requests from endowment holders, account owners, contributors, or DODs. Examines historical and projected financial data for endowments as needed and generates various reports for internal and external audiences using PeopleSoft, PeopleSoft DataMart, and Raiser’s Edge tools. Responsible for the coordination and preparation of the development portion of the Endowment Compliance Annual Report. Works with the Provost’s Office endowment specialist to coordinate the final report for timely leadership review and submission to UTS
Serves as support to the UTMB Endowment Compliance Committee (ECC)
Maintains hard copy department files for endowment data and supporting documentation related to the process of receiving, recording and acknowledging endowments. Provides assistance as requested in filing and retrieving hard copy documentation
Responsible for coordinating endowment data and reporting with Treasury and other campus entities as well as UTS and the University of Texas Investment Management Company (UTIMCO) representatives, to ensure data integrity and consistency of reporting
Uses SABER, CRIS, and CAMS to maintain compatibility with UTMB financial codes
Annual Report of Use – works with the Provost Office and Development Services to submit the annual reporting for all institutional endowments
Adheres to internal controls and reporting structure
Performs related duties as required
Qualification
Required
Associate's degree and four (4) years of related experience
An equivalent combination of education and experience relevant to the role may be considered for this position
Preferred
One year of endowment coordination and donor database experience
Proficiency in Blackbaud's The Raiser's Edge and knowledge of processing donations
PeopleSoft experience
Extensive experience and understanding of development services and fundraising financial procedures
Analytical and independent thinking, strong detail and organization skills, and the ability to communicate and interact professionally
