Administrative Assistant & Accounts Payable Specialist
Boondocks Entertainment, Inc. is seeking a reliable, detail-oriented Administrative Assistant & Accounts Payable Specialist to support daily corporate office operations and manage accounts payable functions. This role is integral to maintaining organized administrative workflows, accurate financial processing, and professional office operations.
Responsibilities
Provide administrative support to executives and corporate departments
Serve as a primary point of contact for office communications and correspondence
Manage calendars, scheduling, meeting coordination, and travel arrangements as needed
Maintain organized digital and physical filing systems
Open, distribute, and manage incoming mail
Assist with internal documentation, communications, and special projects
Maintain and renew required business licenses
Oversee day-to-day office operations and supply inventory
Order office supplies and coordinate office equipment and maintenance
Work with vendors and service providers related to office operations
Support general office organization and efficiency initiatives
Process vendor invoices and issue payments accurately and on time
Serve as vendor point of contact for payment-related questions
Review invoices and vendor statements for accuracy
Research discrepancies, trace transactions, and resolve issues
Set up new vendors, including W-9s, insurance certificates, and lien waivers
Maintain organized A/P files and supporting documentation
Assist with 1099 preparation and compliance reporting
Support month-end close activities related to accounts payable
Qualification
Required
Prior experience in administrative support and/or accounts payable
Proficiency with Microsoft Office (Outlook, Word, Excel)
Strong attention to detail and organizational skills
Professional written and verbal communication skills
Ability to manage confidential information with discretion
Self-motivated, dependable, and comfortable working with minimal supervision
Ability to prioritize tasks and manage multiple deadlines
Preferred
Experience with accounting or A/P software (Sage, QuickBooks, or similar preferred)
