Responsibilities

Oversee the account opening process for new clients, including preparation and submission of required documents
Coordinate and track asset transfers, ensuring timely completion and accurate processing
Perform account maintenance tasks such as updating client information, managing beneficiary changes, and processing service requests
Work closely with custodians and internal teams to address and resolve account-related issues
Respond to client inquiries promptly, providing guidance on account-related matters and addressing service requests
Contribute to the development and execution of client service standards resulting in client retention and satisfaction
Support advisors in preparing and organizing client information for meetings and reviews
Prepare and set up meeting conference rooms in advance of scheduled meetings
Conduct proactive client outreach to schedule and confirm upcoming reviews or follow-ups
Execute client retention and engagement tasks, including personalized outreach and firm-led campaigns including “keep in touch” practices (birthday cards, holiday event mailings, etc.)
Maintain accurate client records in the CRM and ensure all account-related documentation is up to date
Manage the scheduling and firm-wide calendar of associated financial advisors, including pro-active reach outs to schedule and confirm upcoming client reviews or follow ups
Support office supply needs including inventory management and vendor accounts payable
Collaborate with the team on process improvements to streamline account servicing and client interactions

Required

3+ years of client service experience, ideally in the financial services industry directly supporting financial advisors
Strong attention to detail and accuracy, especially in handling account documents and processes
Excellent technology skills, including experience with Word, Excel, Outlook and strong familiarity with a CRM tool
A client-centric approach and genuine interest in delivering exceptional service
Superior communication skills—friendly and helpful in all interactions, whether they are on the phone, in person, or via email
