Responsibilities

Provide direct administrative support to the President and senior leadership; indirect support to a broader transaction team
Manage complex calendars, high-volume scheduling, and shifting priorities for senior executives
Coordinate extensive domestic and international travel, including itineraries, accommodations, transportation, and expense management
Serve as a polished, professional point of contact for clients, counterparties, lenders, attorneys, bankers, and internal stakeholders
Organize and maintain electronic deal files, data rooms, and document workflows related to private placement and structured debt transactions
Facilitate and track NDAs with clients, counsel, and compliance teams while maintaining strict confidentiality
Update and maintain transaction tracking and offering documentation
Prepare, edit, and proofread presentations, marketing materials, and client-facing documents with exceptional accuracy
Assist senior executives in assembling pitch materials and transaction-related presentations
Screen, review, and route communications; draft correspondence; manage sensitive information with discretion
Lead planning and execution of client conferences, team retreats, and high-profile internal and external meetings
Coordinate onsite visitor management, meeting logistics, agendas, materials, catering, and follow-up
Manage office supplies, mail distribution, vendor coordination, and administrative issue resolution
Act as liaison between the Capital Markets team and firmwide departments including Legal, Compliance, Finance, and Human Resources
Support special projects as assigned; independently anticipate needs and manage competing priorities

Required

Bachelor's degree and/or equivalent professional experience
8+ years of experience supporting C-suite or senior executives, ideally within financial services, investment banking, private credit, private equity, commercial real estate, or legal environments
Proven experience in fast-paced, transaction-heavy settings requiring discretion and precision
Advanced proficiency in Microsoft Office, including Excel, PowerPoint, and Outlook
Exceptional written and verbal communication skills with a polished, professional presence
Strong judgment, discretion, and ability to prioritize effectively in high-stakes environments
Self-starter who can anticipate needs, triage information, and support multiple senior leaders seamlessly
Ability to work onsite 5 days per week at a downtown Chicago office
