Operations Manager

Responsibilities

Manage scheduling, communication, and coordination with tenants, brokers, and lenders. Maintain organized digital filing systems for leases, contracts, due diligence, and lender documents
Track deadlines, prepare meeting notes, and support follow-ups across deals and properties
Draft professional correspondence and assist with documentation needs
Request photos, videos, inspections, broker updates, and site information for newly acquired or existing assets
Coordinate maintenance or service requests by liaising with tenants, contractors, and vendors
Monitor tenant obligations (rent, insurance, reporting) and maintain accurate property records
Compile property data, photos, and tenant info for offering memorandums and pitch decks
Manage version control and ensure marketing files are accurate, updated, and properly stored
Gather property and business highlights to support marketing and investor communications
Assist in preparing investor decks, deal summaries, and property profiles
Maintain investor lists, track outreach, and document communication status
Draft investor updates and help maintain organized digital deal folder
Maintain and update workflows: acquisition checklists, due-diligence timelines, closing processes, lease trackers, and property calendars
Track key dates (rent increases, expirations, renewals, lender reporting, tax deadlines)
Provide general operational support as the business scales

Required

6–8 years of professional experience in operations, real estate support, administrative management, or a related field
Strong organizational skills with exceptional attention to detail and accuracy

Confident communicator capable of interfacing with tenants, brokers, vendors, and investors
Proficient in Microsoft Office (Excel, Outlook, PowerPoint, Word) and able to learn new systems
Professional, proactive, and comfortable taking ownership of tasks with minimal oversight

Preferred

Experience with commercial real estate, or investment operations preferred but not required
