Senior Operations Manager
The Estate Lawyers is a modern, fast-growing trust & estate litigation firm in Irvine seeking a Senior Operations Manager. The role involves overseeing daily operations, leading a small team, and ensuring the firm runs smoothly while implementing systems and processes for growth.
Responsibilities
Run the daily operational engine: facilities, vendors, benefits/insurance logistics, firm calendar, key deadlines, and office standards
Lead, coach, and hold accountable your direct reports with clear goals, regular feedback, and performance reviews
Ensure reception and front desk deliver a consistent, professional client experience
Handle operational issues quickly, escalate appropriately, and keep leadership informed (no surprises)
Design, document, and maintain SOPs across intake, matter launch, onboarding, HR workflows, reception, and admin functions
Enforce firm-wide standards: calendaring, file management, document naming, and cross-department handoffs
Drive EOS discipline through L10 meetings, weekly scorecards, and follow-through on action items
Make sure SOPs aren’t just written—they’re followed
Own operational implementation of iManage (document management) and ensure training on non-legal SOPs
Leverage Microsoft 365 (Outlook, Teams, SharePoint, Excel, Word, PowerPoint) to create structure and efficiency
Build and maintain the firm’s ATS and Trainual learning platform
Partner with Finance and Chief of Staff on operational alignment with Clio
Oversee hiring workflows and candidate experience in partnership with the Internal Recruiter
Define hiring stages from application → offer, and ensure candidates move through the pipeline on time
Design and deliver general firm onboarding and non-legal training; ensure every new hire is set up to succeed
Support HR documentation, issue tracking, and escalation (with outside employment counsel as needed)
Help maintain handbook updates, compliance postings, and benefits administration
Lead the operational onboarding of acquired teams
Align workflows and SOPs across legacy and new offices
Coordinate system migrations so everyone is working the same way
Plan and deliver training to ensure smooth integration (no “us vs. them” operations)
Own the operational side of new client intake and internal handoffs
Translate leadership goals into operational projects with clear owners, timelines, and milestones
Provide visibility into hiring status, onboarding completion, SOP adoption, and key operational metrics
Plan and execute quarterly firm events and internal communications that reinforce culture and values
Qualification
Required
5+ years in operations/HR/process management
2+ years managing people
3+ years of experience building SOPs, onboarding programs, and operational systems
Strong with Microsoft 365 and comfortable in tools like iManage, Clio, ATS platforms, and LMS tools (Trainual or similar)
Experience building or refining ATS workflows and training systems
Handle sensitive situations with discretion and documentation
Stay calm when things are urgent; you lower the temperature, not raise it
Are a self-starter who anticipates needs and takes ownership
Preferred
Professional services background strongly preferred
EOS experience a plus
