Administrative Assistant
Responsibilities
Oversee general office administrative tasks, including managing supplies, handling mail, organizing files (digital and physical), and maintaining a clean and professional studio environment
Serve as the primary receptionist, answering and directing phone calls, managing the general studio email, and warmly greeting clients and visitors
Manage calendars, schedule internal and external meetings (including client presentations and vendor appointments), and coordinate travel arrangements for principals and staff
Partner with the Procurement Coordinator and Finance Manager to facilitate proposal updates, vendor payment coordination, and client invoicing
Occasionally assist with social media scheduling and content creation as directed
Qualification
Required
At least 2 years experience as an Administrative Assistant or similar role, preferably within a professional office environment or interior design firm
Exceptional organizational skills and meticulous attention to detail
Strong proficiency in Google Workspace
Excellent written and verbal communication skills with a professional and friendly demeanor
Ability to multitask, prioritize tasks, and manage time effectively in a fast-paced environment
A proactive attitude and problem-solving mindset
Candidates must possess a valid driver's license and transportation
Candidates must reside in the San Francisco Bay Area for consideration and must be willing to work onsite, this is NOT a remote position
Preferred
Experience with Studio Designer is a plus
