Document Management Specialist

International Education Evaluations (IEE) has over 40 years of experience in verifying and evaluating international academic credentials. They are seeking a highly motivated Document Management Specialist to manage and organize physical credentials, communicate with customers, and maintain the document storage system.

Responsibilities

Ensure all mail is opened and all physical documents received are processed
Accept documents dropped off and payments made at the walk-up window
Scan all physical documents received at the Charlotte office
Follow guidelines on secure storage and/or secure disposal of physical documents
Communicate efficiently and professionally with customers and colleagues
Identify, organize, and label credentials
Confirm biodata on application
Assist customers with questions about documents received and documents required
Invoice customers as needed for additional services requested
Understand doc requirements per country and service type; identify missing documents
Authenticate credentials received in office
Print physical copies of evaluation reports and translations for on-time delivery
Retrieve necessary supporting documents from physical files in office to return to customers
Prepare IEE products and supporting documents for mailing/shipping
Provide customers with mailing/shipping tracking information

Qualification

Required

2 years of higher education minimum; bachelor's degree preferred
2 years of previous office or administrative work experience
Prior work experience in an academic records, legal records, or medical records setting is a plus
Prior experience working with international or multicultural clientele is a plus
Strong customer service orientation (“customers” can be patients, clients, students)
Strong cross-cultural and interpersonal communication skills (speaking and writing)
Exceptionally organized and detail oriented; able to manage multiple tasks efficiently

Preferred

Conversational Spanish fluency is a plus
