The New York State Education Department’s (NYSED) Office of Human Resources Management is seeking candidates for an Administrative Assistant 1 position. The role involves providing administrative support, managing recruitment processes, and ensuring effective communication within the department.

Responsibilities
Utilize the Eligible List Management System (ELMS) to canvass and code eligible lists
Create and maintain acceptor’s lists for all NYSED program areas
Create, monitor, and update recruitments within the internal NYSED recruitment tracking system
Generate scheduled and unscheduled, prebuilt reports for distribution to OHRM staff and agency leadership, as well as program review, often using Excel to break data down into Program Area assignments or other data categorizations
Timely and accurately prepare a variety of letters for NYSED employees
Review and accurately process all personnel transactions that come into the shared Staffing Unit's electronic mailbox
Monitor the shared electronic mailbox for Non-Employee Information, and complete any necessary data entry and administrative duties
Ensure accurate vacancy announcements are posted to various web platforms, including the NYSED website and StateJobsNY, in addition to other platforms as assigned
Create electronic mailboxes for recruitments and assign and remove permissions
Create, maintain, and close recruitment mailboxes in Outlook and Outlook Web App; including creating folders and closing folders, adding and removing permissions, creating and deleting rules, preparing folders for archive, and working with the Staffing and List Units to keep mailbox folders and rules up to date
Provide professional and courteous customer service to OHRM staff, program staff, and eligible list candidates
Perform other duties as assigned
Qualification
Required
Administrative Assistant Trainee 1: six months of experience in administrative support, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and/or office administration
Administrative Assistant Trainee 2: one year of experience of experience in administrative support, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and/or office administration
Administrative Assistant 1: two years of experience of experience in administrative support, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and/or office administration
Certification (e.g., IAAP Certified Administrative Professional) or associate degree in office administration, secretarial science, administrative assistance, paralegal, business technology, or office technology substitutes for two years of experience
Current NYSED State employees must have ONE year of permanent competitive or 55-b/55-c service as an Office Assistant 2 (keyboarding)
Candidates must have one year of permanent competitive or 55b/c service as an Administrative Assistant 1, SG-11, or Secretary 1
Candidates must be reachable on the Civil Service eligible list for this title
Candidates must have one year of permanent competitive or 55b/c service in a title SG-06 or above deemed eligible for transfer under Section 70.1 of the Civil Service Law
Candidates must have one year of permanent competitive or 55b/c service in a title SG-08 or above deemed eligible for transfer under Section 70.1 of the Civil Service Law AND completion of all mandatory core coursework
Candidates must have one year of permanent competitive or 55b/c service in a title SG-09 or above deemed eligible for transfer under Section 70.1 of the Civil Service Law AND completion of all mandatory and elective core coursework
Verification of work experience and/or completed coursework will be required for all candidates at the time of interview
